Extensions for Assessment Submissions policy

Purpose: This policy sets forth comprehensive guidelines for granting extensions to assessment submission deadlines. It aims to uphold fairness, consistency, and transparency for all learners.

Scope: Applicable to all learners enrolled in Kaplan UK courses, this policy excludes assessments during designated peak periods, which have specific guidelines.

Policy statement: At Kaplan UK, we are committed to assisting learners facing unforeseen challenges that affect their ability to meet assessment deadlines. We strongly encourage learners to adhere to the structured class schedule, including teaching days and deadlines. Extensions will only be granted under genuine extenuating circumstances to preserve the integrity of the course schedule and assessment process.

Extension requests for learners with additional needs: Learners with additional needs should reach out to the Inclusion Team at als@kaplan.co.uk for guidance. Those with active Learning Support plans already have extra time integrated into their deadlines and are not eligible for further extensions under this plan.

Exceptional circumstances: Learners may apply for an extension to the assessment submission deadline if they face valid reasons such as:

  • Illness: Acute or chronic medical conditions affecting the ability to complete assessments.
  • Other good cause: Situations like family emergencies or bereavement. Personal arrangements communicated at least 2 weeks prior to the submission deadline that do not fall within the peak assessment period or on a designated teaching day may also be considered.
  • Kaplan-related issues: Delays due to Kaplan's processes, such as enrolment issues.

Non-eligible circumstances: Extensions will not be granted for reasons including:

  • Routine work commitments or foreseeable pressures.
  • Personal arrangements not communicated at least 2 weeks before the submission deadline, especially during the peak assessment period.
  • Late enrolment decisions.
  • Personal time management issues causing delays.
  • Mistakes in file submission without valid reasons.
  • Extra exam time entitlement, as deadlines already account for these needs.

Note: Abuse of this policy will be monitored closely to ensure fairness and integrity. Additionally, multiple extension requests for the same assessment will automatically be rejected.

Procedure for requesting an extension: Extension requests should be submitted to the Kaplan service team by email at studentservices@kaplan.co.uk or by telephone 0161 259 7400 at least 48 hours before the submission deadline, except in emergencies. Requests must include a detailed explanation and timestamped supporting evidence.

Kaplan has full discretion to approve or deny all extension requests and will always look to maintain the integrity and schedule of the assessment process.

All requests will be reviewed internally and decisions will be communicated within one working day from acknowledgement that the extension has been received and submitted. Approved extensions will be updated accordingly in MyKaplan.

Confirmation and Appeals: All decisions are final and made with thorough consideration. Appeals are only accepted in exceptional circumstances with substantial new evidence.

Tutor feedback activity (TFA) Extensions: For extensions regarding TFAs, learners must consult directly with their tutor (Classroom/Live Online) or academic support team (OnDemand) via the “Contact a Tutor” function in MyKaplan.

Review and amendments: This policy undergoes annual review and may be amended to reflect changes in operational procedures or learner needs.
